Managing and archiving documents in an enterprise is a very time-consuming task. Especially the retrieval of documents based key-words (meta data) is often not possible without spending enormous time during the archiving process. Anyway, we live in the digital world and enterprises want to take advantage of it.

The BOB’S_WORLD company integrated the document management system (DMS) in BOB’S_WORLD with BOB’S_DMS, which is based on the open-source document management system Alfresco. It is possible to archive any document printed in BOB’S_WORLD and passed on to BOB’S_DMS where it is stored.

The way a document is stored in BOB’S_DMS with respect to location and filename (dynamically – depending on criteria) is defined in BOB’S_REPOSITORY. The type of document (invoice, etc.) is key-worded (meta data) by BOB’S_DMS automatically based on global variables defined in BOB’S_DMS.

In this way, any set of documents can be retrieved based on meta date, e.g. show me all invoices of the last 3 months from customer xyz. Within BOB’S_DMS is also fast soft search possible as we know from a windows environment when we look for a certain string in documents.

BOB’S_DMS is not limited to documents printed only. BOB’S_DMS can manage any type of document (pictures, drawings, emails, etc.) an link it to specific entities in BOB’S_WORLD since BOB’S_DMS is fully integrated in BOB’S_WORLD. This makes BOB’S_DMS very powerful and useful for users.
